What to put on a purchase order

A purchase order tells your supplier exactly what you are ordering, at what price, and where and when it should arrive. Include a PO number so both sides can refer to it, your business details and GST/HST no., the supplier's details, a delivery address and date, each item with its quantity and unit price, GST/HST if it applies, and your payment terms.

Is a purchase order legally binding?

It can become one. A purchase order is an offer to buy on the terms it states; once the supplier accepts it (in writing, or by starting the work or shipping the goods), most jurisdictions treat that as a contract. It is general information, not legal advice.

What is the difference between a purchase order and an invoice?

A purchase order is sent by the buyer, requesting goods or services on stated terms. An invoice is sent by the supplier afterwards, asking to be paid for what was actually delivered. Use the button beside the PDF to turn this order into an invoice once the supplier accepts it.

Do I need to charge GST/HST on a purchase order?
