What to put in a lawn care contract
A lawn care contract is a short written agreement between a property owner and the person who looks after the lawn. It settles what is included, how often you visit, how you are paid and what happens if either side wants out. Writing it down protects both sides and saves an awkward conversation halfway through the season.
Per visit or monthly
- Per visit. You set a price for each visit and log the visits as they happen. Eight visits at $45.00 come to $360.00.
- Monthly. A price for each month of the season. $150.00 a month for 7 months comes to $1,050.00, and it can be split into 1 to 6 instalments with due dates. A price of $1,000.00 split into 3 instalments gives 333.33, 333.33 and 333.34, so the instalments always add up exactly.
Set the term and the price together
Give the agreement a start and an end date, for example a season of seven months, and agree the price for that whole term. A clear term means both sides know when the service begins, when it stops and when the price is due, and it keeps a short conversation about next year from turning into a dispute about this one.
What is included
Say what a visit covers by ticking mowing, edging, trimming and removing clippings, and choose how often you come: weekly, every two weeks, monthly or as needed. Anything not ticked is not part of the price.
Paying in instalments
A monthly or seasonal price can be split into 1 to 6 equal instalments, each with its own due date. Papertern works the split out in whole cents and puts any leftover cent on the last instalment, so the instalments always add up to the agreed price. Damage, liability and cancelling
The agreement includes plain default wording you can edit: the client marks hidden hazards such as sprinkler heads, lights and drains, and reports any damage within a number of days that you set. You also set how many days written notice either side must give to end the agreement. It is a template, general information only and not legal advice.
From agreement to invoice
Log each visit with its date, or choose an instalment. When you press Make invoices, the invoice maker opens with the lines and prices carried across and the same subtotal as the agreement. The invoice maker then works out sales tax exactly as it always does for the US.
