What to put in a snow removal contract
A snow removal contract is a short written agreement between a property owner and the person who clears the snow. It settles four questions before the first storm: how much snow triggers a visit, how you are paid, what happens with salt and ice, and who is responsible if something is damaged. Writing them down protects both sides, and it turns an argument in January into a line you can point to.
Four ways to price snow removal
- Per push, by snowfall band. You set the bands and a price for each: 5 to 10 cm at $45.00, 10 to 20 cm at $65.00 and 20 to 30 cm at $90.00. Pushes of 8 cm, 15 cm and 25 cm come to $200.00.
- Per centimetre of snowfall, with a minimum. At $5.00 a centimetre with a $40.00 minimum, visits of 5 cm and 12 cm come to $40.00 and $60.00, so $100.00.
- Seasonal flat price. One price for the whole season, for example $1,200.00, paid in up to six instalments. A price of $1,000.00 split into 3 instalments gives 333.33, 333.33 and 333.34, so the instalments always add up exactly.
- Seasonal with a cap. A price such as $1,500.00 covering up to 10 pushes, with each push over the cap billed at a price you set, for example $80.00. With 12 pushes in the season, the 2 over the cap add $160.00, so $1,660.00.
Trigger depth, salt and ice
Say how much snow triggers a visit, for example 5 cm, and always write the unit next to the number. Then say how salt and ice are handled: included in the price, extra at a price per application, or not provided. Being clear about this before winter avoids the most common argument between a plough operator and a client.
Damage, liability and cancelling
The agreement includes plain default wording you can edit: the client marks hidden hazards such as edging, lights and drains, and reports any damage within a number of days that you set. You also set how many days written notice either side must give to end the agreement. It is a template, general information only and not legal advice.
From agreement to invoice
Log each visit with its date and snowfall. When you press Make invoices, the invoice maker opens with a line for every visit, the prices carried across and the same subtotal as the agreement. The province you choose on the agreement is selected as the province of supply on the invoice, and the invoice maker works out GST or HST as it always does. Provincial sales tax (BC, MB, SK) is not calculated.
